Terms of service

1. The service

SchoolMate provides school management software as a service, including the web platform, parent/student portal, mobile applications and APIs. Features available to an Institution depend on its subscribed package plus any features allocated by the Platform.

2. Accounts & registration

• Paid registration — schools registered via "Register Now" are provisioned automatically on payment confirmation and remain active while the subscription is in good standing.
• Trials — trial schools are provided free for evaluation. Trials are disabled after 14 days and deleted after 30 days unless upgraded to a paid registration. Reminder notices are sent before each deadline.
• The Institution is responsible for the accuracy of the details submitted and for safeguarding its administrator credentials.

3. Fees & payment

Subscription fees follow the package selected at registration and are payable through our payment partners. Fees are non-refundable except where required by law. The Platform may suspend access for non-payment after reasonable notice.

4. Acceptable use

• Use the service only for lawful school administration purposes.
• Do not attempt to access another Institution's data or circumvent role restrictions.
• Do not upload malicious code or content that infringes the rights of others.

5. Data

The Institution owns its data. Our processing obligations are described in the Privacy policy. The Institution warrants it has authority (including guardian consents where required) to enter the personal data it processes on the Platform.

6. Availability & support

We target 99.9% monthly availability, excluding scheduled maintenance. Support channels and response targets depend on the subscribed package.

7. Liability

The service is provided "as is" to the maximum extent permitted by law. Our aggregate liability in any 12-month period is limited to the fees paid by the Institution in that period.

8. Termination

Either party may terminate at the end of a billing period. On termination we export the Institution's data on request and then delete it in line with the Privacy policy.
